Reports to: Management About the Role

We are looking for an organised, proactive and dependable Administrative Assistant to support BridgeHedge and its portfolio companies. The Administrative Assistant will help the team stay organised, meet deadlines, maintain proper records and follow through on important tasks. This role is not limited to answering messages, scheduling meetings, or completing routine office tasks. The successful candidate must be able to notice what is outstanding, follow up with the appropriate person, and ensure that important work does not get forgotten or delayed.


Key Responsibilities
Administrative Support:

Provide daily administrative support to management and other team members. Manage calendars, appointments, meetings and reminders. Prepare meeting agendas and record clear meeting notes. Track decisions and ensure that assigned actions are followed up. Draft letters, emails, memos, reports and other business documents. Organise physical and digital company records. Maintain approved templates, forms, contracts and company information. Handle confidential information responsibly.


Task and Deadline Management:

Maintain a central task and deadline tracker for all portfolio companies. Record each task, responsible person, deadline, current status and next action. Follow up with team members before deadlines are missed. Remind management of important meetings, filings, payments, renewals and commitments. Identify delayed or blocked tasks and escalate them early. Confirm when assigned tasks have been completed and collect evidence where necessary. Ensure that recurring tasks are properly scheduled.


Portfolio Coordination:
The Administrative Assistant will provide coordination support across the following businesses:
BridgeHedge Limited:

Support client meetings,  recruitment activities, proposals and documentation. Organise client records and service-delivery documents. Track ongoing recruitment, BridgeHR, consulting and advisory assignments. Follow up on agreed client tasks and internal responsibilities.


Omenka Industries:

Track outlet, staffing, inventory, delivery and expansion activities. Maintain an updated expansion tracker showing progress, outstanding tasks and required decisions. Coordinate communication with vendors, suppliers, outlets and service providers. Follow up on stock, logistics and operational matters. Maintain records of quotations, invoices, deliveries and approvals.


Dekina Beauty:

Support product launches, events, stockist relationships and retail activities. Track orders, stockist requests, supplier timelines and operational deadlines. Organise product, vendor, event and customer-related records. Coordinate logistics and administrative requirements for campaigns and events. Follow up on outstanding approvals, deliveries and documentation.


Morjhie Digital:

Support client onboarding, project timelines, content approvals and deliverables. Organise client briefs, contracts, invoices and project files. Track deadlines for campaigns, proposals and client projects. Schedule client meetings and follow up on feedback or approvals. Ensure that completed work and client records are properly stored.

Communication and Follow-Up:

Respond to internal and external messages professionally and promptly. Direct enquiries to the appropriate person. Follow up with clients, vendors, team members and service providers when required. Confirm receipt of important messages and documents. Communicate delays or problems before they affect deadlines. Maintain a professional tone in all company correspondence. Keep management informed of important developments.


Operations and Logistics Support:

Coordinate vendors, deliveries, supplies and service providers. Obtain quotations and present clear options for approval. Track approved purchases, deliveries and outstanding items. Assist with office supplies, equipment and general workplace needs. Support event, meeting and travel arrangements when required. Identify repeated administrative or operational problems. Suggest simple systems or checklists that can prevent repeated errors.

Documentation and Record-Keeping:

Maintain accurate employee, client, vendor and company records. File contracts, invoices, receipts, approvals and correspondence correctly. Ensure documents are named properly and easy to retrieve. Keep both physical and cloud-based folders organised. Update contact lists, databases and trackers. Protect confidential company and client information. Ensure that expired, missing or incomplete documents are identified and followed up.


Human Resources and Recruitment Support:

Publish approved job vacancies on the required platforms. Organise applications and maintain candidate records. Schedule interviews and send confirmations to candidates. Prepare interview materials and recruitment documents. Support employee onboarding and offboarding activities. Maintain employee files and administrative HR records. Track leave, attendance, documentation and other assigned HR matters. Ensure recruitment and HR tasks are completed within agreed deadlines.

Daily Responsibilities


The Administrative Assistant will be expected to:

Review the day’s meetings, deadlines and priority tasks. Confirm what must be completed that day. Update the task and deadline tracker. Follow up with responsible team members before deadlines are missed. Check outstanding messages, approvals and documents. Organise files and records created during the day. Escalate delays, risks, or unresolved problems. Prepare the next day’s priority list before closing.


Performance Measures:
Performance will be assessed based on:

Accuracy of records and trackers Timely completion of assigned tasks Ability to follow up without constant supervision Number of missed deadlines or forgotten tasks Quality and organisation of company documents Responsiveness and professionalism Ability to identify and escalate problems early Reliability and attention to detail Quality of meeting notes and progress reports Support provided across the portfolio companies Initiative in improving administrative processes Simply waiting to be reminded of every task will not meet the required standard for this role.

Required Qualifications and Experience

Bachelor’s degree or HND in Business Administration, Office Administration, Management, Communications or a related field. At least three years of experience in administration, operations, executive assistance or a similar role. Strong organisational and time-management skills. Excellent written and verbal communication skills. Good knowledge of Microsoft Office and Google Workspace. Ability to use spreadsheets, shared calendars, cloud storage and task-management tools. Strong document preparation and record-keeping skills. Ability to manage several tasks and business portfolios. Ability to handle confidential information responsibly. Good understanding of professional workplace communication.

Work Arrangement:

This is a hybrid position based in Ogudu, Lagos. The employee will work remotely on approved days and report physically to the office or other assigned locations when required for meetings, training, events, vendor coordination or business activities. Applicants must live in Lagos and be able to commute conveniently to Ogudu.
