The Store Keeper at Discovering Talents Academy (DTA) is responsible for the efficient and organized management of all school supplies, materials, and assets within the store. This role ensures the accurate receipt, storage, issuance, and inventory control of items, supporting the smooth operation of academic and administrative departments. The Store Keeper is crucial in upholding DTA's operational efficiency and resource management, contributing to a well-resourced environment for learning and development.
Maintain accurate records of all incoming and outgoing inventory, including textbooks, stationery, cleaning supplies, teaching aids, sports equipment, and other school assets. Implement and maintain a systematic inventory control system (manual or digital) to track stock levels, reorder points, and usage patterns. Conduct regular physical inventory counts and reconcile them with records, identifying and investigating any discrepancies. Ensure proper storage conditions for all items, preventing damage, loss, or deterioration.
Receive all incoming deliveries, verifying quantities and quality against purchase orders and delivery notes. Inspect goods for damage or defects upon receipt and report any issues immediately to the Admin Officer. Accurately issue supplies and materials to various departments and staff members upon authorized requests, maintaining proper documentation for all issuances. Ensure timely distribution of necessary materials for daily operations, classes, and special events.
Maintain comprehensive and organized documentation for all store operations, including goods received notes, issuance forms, inventory ledgers, and discrepancy reports. Prepare regular reports on stock levels, consumption rates, and procurement needs for management review. Utilize relevant software or systems for efficient record-keeping and reporting.
Keep the store area clean, tidy, and well-organized at all times, ensuring easy accessibility and retrieval of items. Implement proper labeling and shelving systems for efficient storage and identification of inventory. Ensure adherence to safety regulations within the store environment.
Assist in tracking and managing school assets, including furniture, equipment, and other valuable items. Report any damaged or obsolete assets to the Admin Officer for appropriate action (repair, disposal).
Liaise effectively with the Admin Officer, teachers, and other staff members regarding supply needs, delivery schedules, and inventory inquiries. Communicate any stock shortages or urgent procurement needs promptly to the Admin Officer. Collaborate with the Accountant for reconciliation of inventory and financial records.
Strictly adhere to all DTA policies and procedures related to procurement, inventory management, and financial controls. Uphold the professional standards and values of Discovering Talents Academy at all times.
Education: Minimum of a National Diploma or equivalent in Business Administration, Purchasing and Supply, Accounting, or a related field. Experience: Minimum of [e.g., 2-3] years of proven experience as a Store Keeper, Inventory Clerk, or in a similar role, preferably in a school or organization with diverse inventory. Knowledge: Basic understanding of inventory management principles, stock control methods, and record-keeping practices. Technological Proficiency: Basic computer literacy, including proficiency in Microsoft Excel for record-keeping. Experience with inventory management software is an advantage. Skills: Strong organizational skills, attention to detail, accuracy in counting and recording, and good communication skills. Personal Attributes: Responsible, reliable, honest, diligent, and proactive.
