Job Title: Procurement and Sourcing Officer

Location: Abuja (FCT)

Employment Type: Full-time

Reports to: Senior Business Development Manager Role Summary

The Procurement and Sourcing Officer is responsible for sourcing, negotiating, purchasing, and coordinating the supply of quality foodstuffs for distribution to restaurants and individual consumers. The role ensures consistent product availability, competitive pricing, supplier reliability, and efficient inventory management while maintaining the required quality and food safety standards. A core mandate of this role is to drive measurable cost savings and cost optimisation across all business functions by identifying cost-reduction opportunities, negotiating favourable supplier terms, benchmarking prices, eliminating procurement inefficiencies, minimising wastage, and ensuring value for money on all purchases. The role holder is expected to adopt a proactive, analytical, and commercially driven approach to procurement, ensuring that savings are achieved without compromising product quality, food safety, customer satisfaction, or operational continuity and to be accountable for proactively identifying cost pressures, recommending corrective actions, and providing management with reliable information to support purchasing decisions and improve overall business profitability. The Procurement and Sourcing Officer is expected to demonstrate measurable commercial value by consistently identifying and delivering cost-saving opportunities, improving supplier terms, reducing avoidable losses, and strengthening procurement efficiency across all business functions. Cost savings must be achieved without compromising product quality, food safety, supply continuity, customer satisfaction, or internal controls. All savings reported must be supported by verifiable records and assessed against an agreed baseline and methodology.

Key Responsibilities
Procurement and Strategic Sourcing:

Develop and implement effective sourcing and purchasing strategies to ensure the continuous availability of quality foodstuffs at competitive market prices. Identify, assess, and engage farmers, local markets, wholesalers, distributors, and other suitable suppliers. Conduct regular market surveys and price benchmarking to identify competitive sources, monitor commodity price movements, and inform purchasing decisions. Negotiate favourable prices, payment terms, discounts, delivery arrangements, and other commercial conditions to maximise value for money. Establish and maintain appropriate supplier agreements and procurement records in line with company policies. Consolidate purchasing requirements across relevant business functions, where practicable, to leverage economies of scale and improve purchasing power. Ensure all procurement activities are supported by approved requisitions, appropriate authorisations, and adequate documentation.

Cost Savings and Cost Optimisation Across All Functions:

Identify, evaluate, and implement opportunities to reduce procurement and operating costs across all business functions, including foodstuff sourcing, logistics, storage, packaging, and other approved purchasing requirements. Proactively identify opportunities for savings through supplier negotiations, alternative sourcing, bulk purchasing, competitive bidding, supplier consolidation, and process improvements. Compare supplier quotations and total acquisition costs, including transportation, handling, storage, and other relevant expenses, before making purchasing recommendations. Challenge unnecessary expenditure, avoidable price premiums, duplicate purchases, and inefficient procurement practices while maintaining required quality and service standards. Monitor actual purchase prices against approved budgets, historical prices, prevailing market rates, and agreed supplier terms to identify cost variances and corrective actions. Maintain a cost savings tracker documenting the baseline cost, savings opportunities identified, actions taken, actual savings achieved, and supporting evidence. Work with the Senior Business Development Manager and Store & Inventory Department to identify recurring expenditure and implement sustainable cost-reduction initiatives. Ensure cost savings are measurable, verifiable, and sustainable, distinguishing genuine savings from price fluctuations, reduced purchasing volumes, or compromised quality. Submit regular reports on realised savings, cost avoidance, procurement variances, and additional opportunities for cost optimisation.

Supplier and Vendor Management:

Build and maintain a reliable network of suppliers capable of meeting the company's requirements for quality, pricing, volume, and delivery. Conduct supplier due diligence and evaluate prospective vendors based on product quality, pricing, reliability, capacity, food safety, and compliance with company requirements. Monitor supplier performance against agreed standards for price competitiveness, product quality, delivery timelines, order fulfilment, and documentation. Negotiate supplier terms and periodically review existing arrangements to identify opportunities for improved commercial value. Maintain an up-to-date supplier database, including contact details, product categories, agreed prices, payment terms, and performance records. Address supplier-related issues promptly and recommend corrective action or alternative suppliers where performance falls below expectations.

Inventory Management and Stock Control:

Collaborate with warehouse, inventory, sales, and relevant operational teams to forecast demand and maintain appropriate stock levels. Coordinate timely replenishment of fast-moving and essential products to minimise stockouts and disruptions to customer orders. Monitor stock movement, turnover, expiry dates, product shelf life, and storage conditions to minimise spoilage, damage, and avoidable losses. Work with relevant teams to investigate stock discrepancies, excessive inventory, slow-moving items, and wastage, and recommend corrective actions. Ensure procurement quantities are aligned with demand forecasts, storage capacity, available budgets, and product shelf life. Maintain accurate purchasing and inventory records to support accountability, traceability, and effective stock reconciliation.

Budget Management, Compliance, and Reporting:

Support the Senior Business Development Manager in preparing, monitoring, and controlling procurement budgets. Ensure purchases are made within approved budgets and delegated approval limits, escalating exceptions for appropriate authorisation. Maintain complete and accurate records of requisitions, quotations, purchase orders, invoices, delivery notes, supplier agreements, and other procurement documents. Ensure compliance with company procurement policies, approval procedures, food safety requirements, and applicable Nigerian regulatory requirements. Monitor procurement performance and prepare periodic reports covering expenditure, cost savings, supplier performance, stock availability, wastage, and budget variances. Investigate significant price increases, unexplained cost variances, and procurement inefficiencies, recommending practical corrective measures. Uphold transparency, confidentiality, ethical sourcing, and the company's conflict-of-interest requirements in all supplier engagements.

Operational Collaboration and Continuous Improvement:

Work closely with Warehouse/Inventory, Finance, Operations, and other relevant functions to understand purchasing requirements and ensure timely fulfilment. Support sales and distribution activities by ensuring the availability of quality products in line with forecast demand and confirmed customer orders. Review existing procurement processes and recommend improvements to reduce turnaround time, administrative costs, and operational bottlenecks. Identify opportunities to improve procurement planning, supplier coverage, inventory efficiency, and coordination between departments. Provide procurement and market intelligence to support business planning, pricing decisions, profitability, and growth initiatives. Undertake other related procurement and sourcing responsibilities as assigned by the Business and Procurement Manager.
